At Khomlaxxttyzox, we understand that plans can change. This Return Policy outlines our procedures for workshop cancellations, refunds, rescheduling, and product returns. We strive to be fair and flexible whilst ensuring we can continue to provide high-quality workshop experiences.

By booking a workshop or purchasing products from us, you agree to the terms outlined in this policy. Please read this policy carefully before making any purchase or booking.

2. Workshop Cancellation Policy

2.1 Cancellations by Participants

We understand that circumstances may require you to cancel your workshop booking. Our cancellation policy is as follows:

  • More than 14 days before the workshop: Full refund minus a £10 administration fee
  • 7-14 days before the workshop: 50% refund or full credit for a future workshop
  • Less than 7 days before the workshop: No refund available, but you may transfer your booking to another person or receive a 50% credit for a future workshop
  • No-show: No refund or credit will be provided for participants who do not attend without prior notice

2.2 Cancellations by Khomlaxxttyzox

In the unlikely event that we need to cancel a workshop, you will be offered:

  • A full refund processed within 5-10 business days
  • Priority rebooking on an alternative date of your choice
  • A credit note valid for 12 months

Reasons we may cancel a workshop include, but are not limited to:

  • Instructor illness or emergency
  • Insufficient participant numbers (minimum of 3 required for public workshops)
  • Venue-related issues or closures
  • Severe weather conditions affecting safety
  • Public health guidance or government restrictions

3. Rescheduling Policy

3.1 Participant Rescheduling

We offer flexible rescheduling options to accommodate changes in your schedule:

  • More than 7 days before the workshop: Free rescheduling to any available date within 3 months
  • 3-7 days before the workshop: One free reschedule to any available date within 2 months
  • Less than 3 days before the workshop: Rescheduling may be possible with a £15 administration fee, subject to availability

Rescheduling requests must be made by contacting us directly via email or phone. We cannot guarantee availability for specific dates and times.

3.2 Rescheduling Limits

Each booking may be rescheduled a maximum of two times. After the second reschedule, further changes will be treated as a cancellation under the terms outlined in Section 2.1.

4. Private Group Session Policies

4.1 Deposits and Payment

Private group sessions require a 50% non-refundable deposit at the time of booking. The remaining balance is due 14 days before the scheduled session date.

4.2 Private Session Cancellations

  • More than 21 days before the session: Deposit is forfeited, but remaining balance (if paid) will be refunded
  • 14-21 days before the session: 50% of total booking value is forfeited
  • Less than 14 days before the session: No refund available, but you may reschedule once with a rebooking fee of £50

4.3 Group Size Changes

If your group size decreases, please notify us as soon as possible:

  • Reductions of 2 or fewer participants at least 7 days in advance: Full refund for those participants
  • Reductions of 3 or more participants or less than 7 days notice: 50% refund for additional participants
  • If the group falls below the minimum size (6 participants), standard workshop rates may apply

5. Product Return Policy

5.1 Workshop Kits and Supplies

We want you to be completely satisfied with your purchase. For workshop kits and supplies:

  • Unopened items may be returned within 14 days of delivery for a full refund
  • Items must be in their original packaging and in resalable condition
  • The customer is responsible for return shipping costs unless the item was defective or incorrect

5.2 Non-Returnable Items

For hygiene and safety reasons, the following items cannot be returned once opened:

  • Fragrance oils and essential oils
  • Wax (melted or unmelted once packaging is opened)
  • Wicks and wick accessories
  • Any personalised or custom-made items

5.3 Damaged or Defective Products

If you receive a damaged or defective product, please contact us within 48 hours of delivery with photographs of the damage. We will:

  • Replace the item at no additional cost, or
  • Provide a full refund including any shipping costs

6. Refund Processing

6.1 Refund Methods

Refunds will be processed using the original payment method when possible:

  • Card payments: Refunded to the original card (5-10 business days)
  • Bank transfers: Refunded to the originating account (3-5 business days)
  • Other payment methods: Processed within 10 business days

6.2 Processing Time

Please allow up to 10 business days for refunds to appear in your account. During busy periods or bank holidays, processing may take slightly longer. If you have not received your refund within 15 business days, please contact us.

7. Gift Vouchers and Credits

7.1 Gift Vouchers

  • Gift vouchers are valid for 12 months from the date of purchase
  • Gift vouchers are non-refundable and cannot be exchanged for cash
  • Lost, stolen, or damaged vouchers cannot be replaced
  • Gift vouchers can be used for workshop bookings or product purchases

7.2 Credit Notes

  • Credit notes issued as part of a cancellation are valid for 12 months
  • Credit notes cannot be exchanged for cash
  • Credit notes can be transferred to another person with written permission

8. Special Circumstances

8.1 Illness or Emergency

If you are unable to attend due to illness or emergency, please contact us as soon as possible. We may offer additional flexibility on a case-by-case basis, particularly with supporting documentation. We reserve the right to request evidence such as a signed letter from a healthcare professional for illness-related cancellations.

8.2 Force Majeure

Neither party shall be liable for any failure to perform their obligations under these terms if such failure results from circumstances beyond the reasonable control of that party, including but not limited to acts of God, natural disasters, government actions, pandemic, or civil unrest. In such cases, we will offer full credits or rescheduling options.

To request a cancellation, refund, or to reschedule your booking, please contact us with the following information:

  • Your full name as it appears on the booking
  • Booking reference number (if applicable)
  • Date of the workshop or purchase
  • Reason for cancellation or refund request
  • Preferred outcome (refund, credit, or reschedule)
